Create a booking

A booking reserves an asset group for a date range. It starts as a reservation and becomes a rental once you assign a specific car and hand over the keys.

Prerequisites

• At least one car exists in the target asset group.
• The asset group has an active rate for the dates.

Steps

1. Open Reservations from the left sidebar, or click an empty slot directly on the fleet chart for the dates you want.

2. Click New reservation.

3. Choose the asset group and the pickup and drop-off date/times. The chart highlights availability so you can avoid conflicts.

4. Enter the driver details: name, contact, and license information.

5. Review the price — the pricing engine shows the calculated total for the selected group and dates. Add any extras if needed.

6. Click Create reservation. It appears on the fleet chart as a pending booking.

7. When the customer collects the car, open the reservation and click Start rental, then assign the specific car they will drive. This converts the reservation into an active rental and locks in the price.

Tip

Bookings submitted through the public API arrive here as pending reservations with an “API” source badge. Review and confirm them the same way as dashboard bookings.

Double-booking protection

The platform prevents two overlapping rentals on the same car through database exclusion constraints — you cannot accidentally assign a car that is already out. If you try, the dashboard shows a clear conflict message.
